The fund’s questions

With Excel and email, the figures do not add up first time

When units go through multiple brokers and estate agents, the data comes from Excel, from email and from each one’s own software: putting it back together is a job in itself.

Which offers did each broker take this week?

The broker says they took more than one; the system shows only one. Or a preliminary contract (compromesso) turns up with no viewing on record. If the figures come from each broker’s reports, the fund finds out after the event.

Where do enquiries come from, and who calls them back?

Portals, sales initiative websites, phone calls: if the channels do not end up in the same system, the source is lost, and with it the way to tell which listings work.

Is the offer in line with the approved price list?

The approved price list (listino) in an Excel sheet, offers in email: the comparison is done by hand, often at month end. An out-of-date asking price stays in the listings, or too steep a discount brings interest that never turns into a sale.

How EASYRE® works

From listing to notarial deed, one workflow for every broker

The fund decides, brokers and estate agents sell, D.P.S. brings listings and enquiries: everyone works on the same data, unit by unit.

Units online, on portals and websites

Listings go out automatically to immobiliare.it, idealista, casa.it and Wikicasa, the Italian property portals, and each sales initiative has its own pages on the SGR’s websites. Each listing has a quality score of up to 100.

Enquiries with their source

Enquiries from the portals and websites come in with their source and go to the broker handling the unit; call centre calls come in as enquiries too. If the agreed response time runs out, the enquiry moves to the overdue reminders, most overdue first.

Offers checked against the approved price list

Before acceptance, offers are checked against the unit’s approved price list, that is its minimum price: those to be checked wait in the price review queue. The anti-money laundering function has its own checks to sign off at the offer (proposta), the preliminary contract and the notarial deed (rogito).

Adding value: your deals show where to act

Value-add work on a portfolio also means deciding, unit by unit, whether to revise the price, refurbish before selling or change course. EASYRE® gives you the data to choose.

The reasons behind lost deals

For lost deals the reason is recorded, chosen from a list: price too high, offer not in line with the approved price list, high service charges, mortgage not granted, refurbished properties only. Taken together, they show whether the problem is the price or the unit.

The units that are not moving

The stock, enquiries and activity report sets side by side the units for sale, the enquiries they receive and the brokers’ work. A unit that is stuck: is it the price that needs revising, or is nobody pushing it?

Deviation from the approved price list, fund by fund

For each fund, the deviation of selling prices from the approved price list; for each unit, approved price list, offer, preliminary contract and deed side by side. The asking price is corrected on facts, not impressions; when a new approved price list is needed, the board decides it.

Leasing and build-to-rent

If you lease, EASYRE® follows each lease through to signing

When the fund leases its residential units instead of selling them, the work up to signing resembles a sale: listings, enquiries, viewings, offers, checks. EASYRE® handles leasing too.

Up to signing: EASYRE®

Listings for lease on the portals, with their quality score; enquiries with their source; viewings and lease offers, through to the signed lease. Brokers and estate agents are measured as in a sale.

After signing: EASYTM®

From signing onwards, managing the properties and the tenants is the job of EASYTM®, the other product by D.P.S. Soluzioni Informatiche.

A fee per fund and per unit

The fee is based on the funds and the number of units you put into EASYRE® to sell or lease them.

Services, priced separately

Call centre and freephone number, publishing and managing listings, photos, virtual tours, floor plans, sales initiative websites, broker training, advice on the sales budget. For services, payment can also include a fee on completed sales.

One contract, even for more than one client

If there is more than one fund, or you sell on behalf of more than one owner, there is still only one contract.

What is EASYRE®, and what does it do for an SGR?

EASYRE® is software and service with which an SGR (Italian asset management company), a fund or a large owner sells or leases its real estate portfolio in Italy unit by unit, through multiple brokers and estate agents, and governs their work. Listings go out automatically to the Italian property portals, enquiries arrive with their source, offers are checked against the approved price list before acceptance, the anti-money laundering function has its checks to sign off at offer, preliminary contract and notarial deed, and the fund reports are read from the same data. It is made in Rome by D.P.S. Soluzioni Informatiche, a software house since 2002, and has been in use since 2014.

How does an SGR report to its board on sales made by multiple brokers?

An SGR reports to its board of directors with figures taken from the same workflow in which the brokers work, not from their reports. In EASYRE® each deal follows its steps, from enquiry to notarial deed; for each unit the approved price list sits next to the offer, preliminary contract and deed prices; the reports give the rankings of brokers and estate agents, enquiry sources, sales, the deviation from the approved price list fund by fund and the reasons for lost deals. They are the same data the fund manager works on.

How does EASYRE® differ from software for a single estate agency, or for asset management?

Software for a single estate agency serves that agency, with its own properties and clients. Asset management software manages the properties themselves: leases, space, maintenance. EASYRE® governs the sale and leasing of the units: it sits above all the brokers and estate agents working for the fund and brings together enquiries, prices, checks and documents, from listing to notarial deed or lease. It is already integrated with REFTREE by IdeaRE.

Does EASYRE® replace brokers and estate agents?

No. You choose the brokers and estate agents, and they keep selling; they work in EASYRE®, where they take on enquiries and record viewings, offers and outcomes. The fund sees everyone’s work with the same figures: response times, viewings, offers, reasons for closing. D.P.S. also offers broker training for working in EASYRE®.

Who uses EASYRE®?

EASYRE® has been in use since 2014. It is used by Italian SGRs that sell or lease the properties of their funds and by Italian real estate services firms working on behalf of owners; brokers and estate agents, call centres, anti-money laundering functions and credit intermediaries work in it, each with their own role.

Our Italian property is held in a fund managed by an SGR: who would use EASYRE®?

The SGR that sells or leases the fund’s units, or the real estate services firm that does it on the SGR’s behalf. Brokers and estate agents work in EASYRE® on the owner’s mandates, and the figures the SGR gives its board, its committees and its investors come from the same data.

How much does EASYRE® cost an SGR?

The fee is based on the funds and the number of units. Services, such as call centre and freephone number, publishing and managing listings, photos, virtual tours and sales initiative websites, are added separately, and for services payment can also include a fee on completed sales. If there is more than one fund or client, there is still only one contract.

Does EASYRE® also work for leasing?

Yes. In EASYRE® an offer can be to buy or to lease, and also for bare ownership, usufruct or a rent-to-buy agreement; the workflow runs through to the signed contract. After signing, managing the properties and the tenants is the job of EASYTM®, the other product by D.P.S. Soluzioni Informatiche.
